QuickBooks MCP server: ask questions, get governed answers

QuickBooks is Intuit's accounting software; it holds invoices, bills, customers, vendors, bank transactions, chart of accounts and financial reports.

Try it on your own data in a pilot.

QuickBooks AI analytics: what you can ask

Typical questions from small business finance teams. Each answer shows the definition, source and query behind it.

  • What is our profit and loss by month for this year?
  • Which customer invoices are overdue, and by how many days?
  • What are the top 10 expense accounts this quarter?
  • Compare income this quarter with the same quarter last year.
  • Which vendors have unpaid bills due in the next two weeks?
  • What is our accounts receivable aging summary today?

Worked example: a governed QuickBooks answer

One question, and everything the answer shows so you can check it. The figures are invented sample data.

What was our profit and loss by month for Q3?

Approved definition: Monthly profit and loss

QuickBooks Profit and Loss report on the accrual basis, summarised by month, for the company's full chart of accounts.

Common pitfalls when asking QuickBooks questions

Each one is settled once in an approved definition, so every person and every assistant gets the same answer.

  • Cash or accrual basis

The same month shows different income on a cash and an accrual basis. The definition fixes the basis, and the answer states it.

  • Classes and locations

If you track departments with classes or locations, a question about one department needs that filter. The definition maps your department names to them.

  • Uncategorized accounts

Transactions left in Uncategorized Income or Expense distort category totals. A good answer flags them instead of hiding them in Other.

How Nexatron connects to QuickBooks

Whose permissions
Each person connects their own QuickBooks account, so answers return only the records that person can already see in QuickBooks.
Read and write
Questions are read-only. A small set of QuickBooks actions also exists; each one is previewed first, runs only after explicit confirmation by a permitted person, and can be switched off by your administrator.
Setup
Sign-in happens on the vendor's own OAuth consent screen; Nexatron never sees a password. Steps: choose the source → check prerequisites → enter connection details → approve access → verify → ask. No data migration and no pipeline to build: data is queried where it lives.

QuickBooks MCP connector for Claude, ChatGPT and Copilot

Nexatron's hosted MCP server is a governed QuickBooks MCP connector: Claude, ChatGPT and Microsoft Copilot ask questions of your QuickBooks data through it. Each person signs in as themselves, so the assistant sees only what they may see.

Connect QuickBooks to Claude, ChatGPT or Copilot

  1. Connect QuickBooks to your Nexatron workspace.
  2. In Claude, add Nexatron from Claude's connector directory. In ChatGPT or Copilot, add a custom MCP connector with the server URL https://api.nexatron.io/api/v1/mcp.
  3. Sign in with your own Nexatron identity (OAuth 2.1), then ask your QuickBooks questions.
How the Nexatron MCP server works

QuickBooks connector FAQ

Can I ask QuickBooks questions without writing queries?
Yes. The connector is available now. Ask in Teams, Slack, the Nexatron web app, or an AI assistant connected through Nexatron's MCP server.
Does Nexatron respect QuickBooks permissions?
Yes. With a personal connection, answers return only the QuickBooks records that person can already see.
Can Nexatron change data in QuickBooks?
Only through optional actions that a permitted person previews and confirms. Asking a question never changes QuickBooks data.
What do I need to connect QuickBooks?
A user who can approve access on the vendor's own sign-in screen.
Is there a QuickBooks MCP server for Claude, ChatGPT or Copilot?
Yes: Nexatron's hosted MCP server, once QuickBooks is connected to your workspace. It is Nexatron's server, not one published by QuickBooks, and the assistant gets the same governed answer as the Nexatron app.
Can I get QuickBooks reporting answers without exporting to Excel?
Yes. Ask about overdue invoices by customer or expenses by account this quarter, for example, and Nexatron returns the answer with the report or query and the definition it used.
How is Nexatron different from QuickBooks' own AI features?
QuickBooks' AI features work inside QuickBooks. Nexatron answers from Teams, Slack, the web app or a connected assistant, applies the same definitions every time, and can combine QuickBooks with a CRM or payments system when both are connected and federation is on (the default for new workspaces).

Try Nexatron on your own QuickBooks data

A pilot starts with three questions your team already asks and the report you trust for each, so you can check the answers yourself.

QuickBooks is a trademark of its owner. Nexatron is not affiliated with or endorsed by it; the name and mark identify the system Nexatron connects to.
