A finance-first checklist for validating AI answers

Finance validation should compare an AI answer with an approved report under the same definition, period, entity scope, currency, and access context. A plausible number or an elegant explanation is insufficient. The reviewer needs to understand both what matched and why any difference occurred before using the result in a financial decision.
Start from an approved report
Choose a narrow first measure with a clear owner. Record the source report's filters and observation time. Include the treatment of adjustments, missing values, and open periods where relevant. This preparation turns the evaluation into a reproducible comparison rather than a meeting in which participants discover that they meant different things by the same financial term.
Compare more than the total
A matching grand total can conceal offsetting errors. Check a meaningful breakdown and a small set of representative transactions. Include an ordinary item and at least one exception such as a credit, partial payment, cross-currency record, or period-boundary case. Select examples appropriate to the measure rather than applying a universal checklist mechanically.
Work through discrepancies systematically. Confirm population first, then calculation, then timing and presentation. Changing several assumptions at once may produce agreement without explaining the original difference. Finance needs an explanation that another reviewer can follow, especially if the answer will be used in a recurring close, cash, or performance workflow.
Set tolerances deliberately
Some comparisons should match exactly; others may permit documented rounding or currency-conversion differences. Define the tolerance before reviewing the output. An arbitrary percentage allowance can hide a material problem in a small category or excuse a definition mismatch. The permitted difference should follow the business purpose and the source calculation.
Separate numerical agreement from completeness. A correct total over a truncated or restricted population does not satisfy a question about the full authorized scope. Likewise, a response that omits a material caveat may be unsuitable even when its arithmetic matches. Record these dimensions individually so the evaluation reveals the nature of a failure.
Review the explanation
Ask whether the narrative stays within the evidence. A change in a balance can be described without proving its cause. Statements about customer behavior, collection effectiveness, or future cash should be supported by the relevant data and business context. Where evidence is missing, the assistant should identify the next question rather than supply a confident story.
Check that a follow-up preserves the accepted definition unless the user explicitly changes it. Finance conversations often move quickly between periods and subsidiaries. A system that silently changes the currency or date basis can undermine an otherwise successful initial answer. Include that conversational continuity in the evaluation plan.
Create a reusable acceptance record
Retain the question, approved definition, reference, configuration, observed result, caveats, and reviewer decision in an appropriate location. Avoid duplicating sensitive transactions unnecessarily. The record should make a future regression check possible after a source, model, or definition changes, without requiring the original demonstration team to reconstruct every assumption.
A Nexatron and NetSuite pilot should leave finance with a small set of trusted, repeatable questions and a clear list of unsupported cases. That outcome is more actionable than a broad accuracy claim. It gives the organization a controlled starting point for wider use and provides specific evidence for deciding where conversational analysis can reduce preparation effort while preserving financial discipline.
Assign a discrepancy owner
When a mismatch appears, identify whether its owner is finance, source administration, or the application team. An ambiguous definition belongs with finance; a missing authorized field may belong with source administration; an incorrectly applied agreed rule belongs with the implementation team. This routing keeps reconciliation efficient and prevents every difference from becoming a vague complaint about AI accuracy.
Record the responsible person and next verification step so an unresolved issue does not disappear between evaluation meetings.
